Delivering Video and Photography for a 900-Delegate International Conference in Cape Town
When conference organisers are managing hundreds of delegates, multiple venues, international speakers and tightly scheduled programmes, they need a production team they can trust to work independently while delivering professional content throughout the event.
In April 2025, Unbreakable Media partnered with The Conference Company to provide complete photography and videography for the 17th Biennial International Association of Women Judges (IAWJ) Conference, hosted at the Cape Town International Convention Centre (CTICC).
The conference brought together approximately 900 judges, magistrates and legal professionals from around the world under the theme:
"Resilience: Women in Leadership to End Gender-Based Violence & Femicide."
Over three and a half days, delegates exchanged knowledge, shared best practices and explored practical strategies for advancing gender equality and addressing gender-based violence within legal systems worldwide.
The conference programme included international delegates, senior members of the judiciary and a keynote address by South African President Cyril Ramaphosa, requiring careful coordination around official security protocols.

The Challenge
The conference programme extended far beyond a single stage.
With board meetings, five simultaneous breakout venues, plenary sessions, networking events, official ceremonies and a gala dinner, the organisers needed comprehensive coverage while ensuring that key moments could be shared throughout the event.
The production also involved VIP security protocols, international delegates and official group photographs where timing could not be controlled.

Although multilingual subtitling wasn't part of the original brief, we recognised the value of making the interview accessible to a wider audience. The client appreciated the additional effort and later enquired about supporting further languages for future projects.



























Capturing the Full Conference on Film
Rather than a single stage recap, the film coverage reflected the scale and energy of a 900-delegate international conference — the opening ceremony, plenary speakers, networking and the gala dinner across three and a half days.
Delivering Content During the Conference
Conference content has the greatest impact while conversations are still happening.
Throughout the event, edited photographs were delivered during the day for immediate use across social media and event communications.
Each highlight video was edited overnight and supplied the following morning, allowing delegates, sponsors and organisers to relive the previous day's activities while the conference was still underway.
This approach helps extend engagement throughout the event instead of waiting until everything has finished.
Working Under Pressure
One of the most demanding moments came during the official group photograph attended by South African President Cyril Ramaphosa.
Due to the President's security protocols, there was no opportunity to rehearse or position the approximately 900 delegates beforehand. Once the President arrived, the production team had only a brief window to organise the photograph before security moved the programme forward.
Capturing the image successfully required clear communication, quick decision-making and the ability to remain calm under pressure—skills that are essential when working at large-scale international conferences with high-profile dignitaries.
